Paperless Payroll

Paperless payroll has a positive impact towards reducing the amount of resources used in everyday operations of the average business. Did you know that electronically transferring funds to employees is up to 50% cheaper than issuing checks?

With APS’ Paperless Payroll, we can deliver, via the Web, any information that a customer needs to process and manage their payroll, as well as manage and store all the information about employees needed by the human resource department. Additionally, Paperless Payroll offers your employees direct access to their individual payroll information via the Web.

Benefits of going paperless include:

• Save green - no more printing, shipping, or storage costs. Save time distributing check vouchers to employees and reports to management. APS offers unlimited reports sent electronically at no additional charge at any frequency you need them!
• Increase security and access to information – less potential for counterfeit or stolen checks, altered amounts, and forged signatures. Quarterly Tax Returns, Year End Reports and Employer W-2’s are easily accessible on a secure website. Complying with the IRS requirement of saving these records permanently can be expensive and burdensome. Saving these files to a server or CD eliminates the physical storage expenses.
  
• Simplify account reconciliation - with 100% direct deposit you have one net pay debit from your account instead of one for each live check.
• Communicate important information – clients have the ability to upload confidential data to APS easily and securely. You can conveniently give CPAs and other business partners access to the data they need, when they need it.
  
  

With APS’ Paperless Payroll, companies have the options of using direct deposit and/or Payroll Debit Cards. For employees that do not want or have bank accounts, Payroll Debit Cards are a great alternative. Employees will enjoy:

• Paying for goods and services or bills where Visa debit cards are welcome
• Free United States Postal Service money order each payroll

New: Web-based Record Retention

Payroll data/records and time sheets need to be kept for 7 years per the IRS regulations. Other data such as quarterly tax returns and payment records need to be kept permanently. This is a lot of paper even for a small organization! With APS’ Web-based Record Retention service, companies can keep this information permanently, and eliminate the work and cost of implementing a huge database.

The screen shot to the right illustrates all of the available payroll reports. They are stored in the appropriate folders based on frequency of need determined by the client. These reports can be sent .PDF, Excel, Word, CSV, etc. Clients are notified with an email that reports have been uploaded.

Report options include 5 standard reports. Any additional reports might have a set up fee based on complexity (simple report writer or crystal), but no additional charges! Standard reports include, but are not limited to:

1. Payroll Summary
2. Check Register
3. Payroll Register
4. Employee Earning Statements
5. Invoice

There are 70+ standard reports where properties can easily be changed to filter or specify a date range. Some of the unique and/or most useful reports are:

1. Benefit reconciliation reports
2. Active employees not paid
3. Status change reports
4. Retirement plan reports
5. Workers compensation reports
6. Review, hire date, anniversary, and birthday reports
7. Employee benefit statements
